How Did We Get from “Write Me a Post” to “Help Me Organise My Business”?
We first asked AI for a caption. Then an email, campaign ideas or a summary. Today the question is more practical: can it help prevent enquiries from being lost, organise tasks and give us a clearer view of the business?
What has changed
On 29 September 2026, Meta announced Muse for Small Business, connecting tools such as Canva, Shopify, Asana and Klaviyo alongside Facebook and Instagram business accounts. Its initial availability covers the US and Canada. The announcement requires user approval before publishing, sending or spending.
The significant shift is connecting a conversation to a workflow. An assistant that can use selected tools has a different role from a system into which we copy text. Its usefulness depends on its actual capabilities, permissions and operating rules.
Three useful applications for a small business
First, enquiry management. A website enquiry can be recorded in one shared list, categorised and assigned to the right person. AI can suggest an initial response, subject to review before it reaches the customer.
Second, content preparation. With approved information about services, audiences and brand voice, an assistant can prepare proposals for the person responsible to assess. Prices, claims and commitments need a specific source.
Third, a weekly overview. Which enquiries are waiting? Which quotations need follow-up? What has been completed? A consolidated update is useful when the underlying records are current.
Define the work before delegating it
Start with one recurring process. Record its trigger, required information, owner and intended outcome. Define what the assistant can do independently and where approval is required.
Limit access to the data it actually needs. Include an activity record, a way to correct mistakes and a person who takes over when information is missing or something fails. Test in a limited setting before extending the workflow.
The first step can be small
Choose one task that consumes time every week. Measure how long it currently takes and check whether the new process reduces delays or errors. That gives you a useful basis for the next decision.
At Promoters, we start with how the business operates and design connections around its everyday needs. Get in touch if you would like help identifying the first process worth organising.
